Frequently asked questions

How do we know which processes to automate first?
In the Map step we measure each candidate process: volume, time per case, error rate, exceptions and the cost of delay. The first automations are the ones with high volume, clear rules and a measurable outcome, so the first monthly report can show the result in hours saved and response times.
How accurate are the agents, and what happens when they are wrong?
Every agent is tested against a set of real cases before it goes live and monitored against that set afterwards. Where the risk requires it, a person reviews the output before it leaves the building. When an agent is unsure, it hands over to a colleague with the full context instead of guessing. Accuracy is reported monthly.
Where does our data go, and is it used to train models?
We design the system so your data stays in the European Union, under agreements that exclude training on it. We choose models and hosting per case, including EU-hosted options, apply data minimisation and retention rules and log every action. The setup is documented so your DPO and auditors can review it.
Are the systems compliant with the EU AI Act?
Each system is classified under the EU AI Act in the Architect step, documented accordingly and given the transparency notices and human review steps the regulation requires. We keep the documentation current as the rules and the system evolve.
Can the agents work in several languages?
Yes. The agents answer in the language the client writes or speaks in, with the tone and rules you define. Quality is tested per language, not assumed from the English version.
Which systems can the automations connect to?
CRM, ERP, email, telephony, messaging, document storage, accounting and internal databases, through their APIs or through orchestration platforms where that is more practical. If a system has an API or an export, it can be part of the flow.
How long does it take to get an automation live?
Map and Architect take three to five weeks together. A single process is then built, tested and released in four to ten weeks, first to a controlled group and then at full volume. A department programme delivers processes one after another in the same rhythm.
How is the work priced?
An automation sprint or a department programme has a fixed price based on the blueprint. Operated agents are a monthly fee that covers monitoring, quality reviews, updates and improvements. Model and platform usage is billed at cost in your own accounts, so you see exactly what each process costs to run.
Will this replace our team?
In practice it changes what the team spends its time on. Routine requests, re-keying and first-line answers move to the system; the people move to the cases that need judgement, relationships and exceptions. Most clients use the capacity to grow without hiring at the same pace, not to cut.
We ran a pilot that never went to production. What went wrong?
Usually the pilot had no integration, no owner and no quality measurement, so nobody could sign off on running it at volume. We scope every automation for production from the start: connected to your systems, with monitoring, a rollback path and a named owner on both sides.
